Understanding the Impact of Unpriced Items
The Remove Unpriced Items option in SAP Business One is intended to reduced your database size. When you create an Item Master, there are a number of background tables being affected – Item Master Table, Item and Warehouse Tables, and Item Pricing Table.
We're going to focus on the Item Pricing Table. This table populates every item and price combination. For example, if you have 100 items in your database and 10 price lists, each time you create a new item, you're also creating 10 new records in the Item Pricing Table - 1 for each price list. But some of your items may not be included in all 10 price lists. So you end up with unnecessary records for unpriced items. Now imagine you have 500,000 Item Masters and 20 price lists. You could easily have 100,000 unnecessary records cluttering your database.
So, how do you clean up your database? You use the Remove Unpriced Items option.
How to Remove Unpriced Items
- In the main menu, go to Modules > Administration > System Initialization > General Settings > Pricing tab.
If you're running an older version of SAP Business One, you may not see the Pricing tab. You can look for the Remove Unpriced Items from Price List in Database option on the Inventory tab instead. - Check the box next to Remove Unpriced Items from Price List in Database.
- Click Update.
Note that this does not remove the items from your Price List view. It only removes the records from the background Item Pricing Table to improve efficiency of your database.
Hide Unpriced Items in Pricing Reports
If you choose not to remove the unpriced items from your database, you still have the option to hide them from your pricing reports.
- Under the main menu, go to Modules > Inventory > Inventory Reports > Price Report.
- Check the box next to Hide Unpriced Items.
- Click OK.
